Rolled Cuts

If a student’s absence is not cleared within 5 days, the absence gets automatically coded as what’s called a “rolled cut.” Since a parent or guardian has not claimed knowledge of these absences, the student is considered truant.

My child is leaving the country for more than 14 days. What do we do?

We have noticed that sometimes our students leave the country to visit family for an extended period, particularly in the spring. If your child leaves the country and will miss school for more than 14 days, your child will be withdrawn from Arcade, and withdrawn from future school placements (high school placement for 8th graders) as well. Unfortunately, we are unable to hold spots for students who leave during the school year for extended trips.

Here are the steps to take:

• If you will be leaving for any extended period of time, please consider scheduling the trip during summer or winter break. Your child misses important learning if they are absent even one day. Missing weeks of in-class instruction will result in them falling far behind. It can be difficult to keep up with school work remotely if they are not in class for the lessons or to ask questions of their teachers.

• If your child will be gone between 10-14 days, you may inquire to see if your child qualifies for short-term independent study, which will allow your child to stay enrolled in Arcade and hold future placements as well.

Arcade Middle School uses Scan Manager. It is a tardy tracking and notification system that is used by several middle schools and high schools within the San Juan Unified School District. 

Here are a few important details to know about the implementation of Scan Manager:

• Parents and guardians receive an immediate notification each time their student is tardy to a class, including to 1st Period. Parents will receive an email notifying them which period their student was late to, along with the running total of tardies their student has earned for the quarter.

• If there is a valid reason for a student arriving late to 1st Period, families can call the office and excuse that tardy (please see the tab below on how to clear tardies).

• Scan Manager will track your student's tardies, and will automatically assign consequences based on the number of tardies per quarter. Tardies will reset at the beginning of each new quarter. Here are the consequences for excessive tardies to class:

  • At 10 tardies, the student is placed on social probation.

  • At 13 tardies, the student receives community service.

  • At 15 tardies, the student and family will have an administrative conference.

1. Parent must provide the reason for the late arrival to school in order to clear the tardy. Only late arrivals out of the student's control are excusable. 

2. The parent must contact us via phone, email, or in person for each tardy they would like to excuse. We have many families with transportation issues. Unfortunately, we are unable to assign excused tardies for multiple days for any reason.

3. Parents may only excuse late arrivals to school, they may not excuse tardies their child gets between classes once they are at school.

4. If a student arrives late with a doctor's note dated the day of their late arrival, that will excuse the tardy.

5. The Scan Manager system automatically notifies parents when a student is tardy to any period. This often happens before the parent excusal has been processed. Do not be concerned unless the tardy doesn't show as cleared a day or so after the office has been notified. Parents can check attendance on the parent portal, or by contacting the office if they want to confirm the excusal has gone through.

6. Parents are encouraged to communicate with their child about attendance prior to contacting the office. Share with your child the attendance message they got and ask their child why they were marked tardy to that particular class. This can save unnecessary time spent investigating tardies that are actually accurate.
